UUCF Member Portal – Terms of Service

Welcome to the UUCF Member Portal. By accessing or using this site, you agree to these Terms of Service (“Terms”). The Member Portal is provided by the Unitarian Universalist Congregation of Fayetteville (UUCF) to support the congregation’s administrative, financial, and community-engagement activities.

These terms are written in clear, plain language consistent with our values of transparency, consent, and mutual respect.

1. Purpose of the Portal

The Member Portal helps UUCF members:

  • Manage financial pledges and recurring donations
  • Track time and talent commitments
  • View donation history
  • Access member-only content
  • Communicate with UUCF leadership
  • Complete surveys, forms, and community participation requests

The Portal is intended for UUCF members, friends, and individuals who voluntarily engage with our digital tools.

2. Eligibility and Accounts

Account Creation

  • Accounts are created by invitation only.
  • You must accept the invitation and set a password before accessing protected sections.

Account Security

You are responsible for:

  • Keeping your password confidential
  • Using a secure password
  • Not sharing your login with others

3. Your Responsibilities When Using the Portal

By using the Portal, you agree to:

  • Provide accurate information
  • Use the Portal only for UUCF-related purposes
  • Respect the privacy of other members
  • Refrain from accessing information you are not authorized to view
  • Avoid any actions that disrupt or compromise the site’s security

You agree not to:

  • Harass, intimidate, or harm others
  • Use member contact information for personal, commercial, or political purposes
  • Attempt to bypass security measures
  • Upload harmful or malicious content

4. Public Surveys and Forms (No Login Required)

UUCF may offer public-facing forms, volunteer sign-ups, feedback questionnaires, or surveys that do not require an account.

Anonymous Forms

Some forms allow fully anonymous submissions. No identifying information is required unless you choose to provide it.

Identified or Contact-Based Forms

Other forms may ask for:

  • Your name
  • Email address
  • Phone number
  • Preferred contact method
  • Comments or feedback

By submitting one of these forms, you consent to UUCF contacting you using the method you indicated you prefer, and only in relation to your submission.

Review of Submissions

Depending on the form’s purpose, your submission may be reviewed by:

  • UUCF Staff
  • UUCF Board members
  • Committee chairs
  • Designated volunteers responsible for responding

All reviewers are expected to handle submissions with confidentiality and care.

Limits of Public Forms

  • These forms are not monitored continuously.
  • They should not be used for emergencies or time-sensitive needs.

5. Privacy and Use of Information

Your use of the Portal is also governed by our Privacy Policy, which explains:

  • What information we collect
  • How we use it
  • Who can access it
  • How data is protected

6. Payments and Donations

All online financial transactions are processed through Stripe, a secure, PCI-compliant payment processor.

UUCF never sees or stores full credit card numbers, bank information, or billing details.

Stripe provides only the customer ID, subscription ID, and receipt information needed for bookkeeping.

You are responsible for ensuring the accuracy of your recurring donation settings and payment details within the Stripe checkout process.

7. System Availability and Modifications

We work to keep the Portal available and secure. However:

  • We cannot guarantee uninterrupted or error-free operation
  • Planned maintenance or outages may occur
  • Features may be added, changed, or removed without prior notice

Major changes will be communicated when possible.

8. Data Accuracy and User Responsibility

You agree that the information you submit—whether during account creation, in the Portal, or through public forms—is accurate to the best of your knowledge.

UUCF is not responsible for:

  • Errors caused by inaccurate information entered by users
  • Third-party outages (Heroku, Stripe, Zoho/Zepto, Google Analytics)
  • Losses resulting from temporary site unavailability

9. Account Removal or Access Changes

Your Portal access may be modified or removed if:

  • You request account deletion
  • You are no longer a member or active participant at UUCF
  • You violate these Terms
  • Technical or administrative needs require adjustments

If your account is removed, financial and pledge records may still be retained for bookkeeping and legal compliance.

10. Intellectual Property

All site content, design, layout, structure, and underlying code are the property of UUCF or its developers. You may not copy, modify, reproduce, or distribute Portal materials except for personal use within UUCF.

11. Minors

The Member Portal is intended for adults. Individuals under age 18 may not create accounts or access the Portal.

Minors may submit public forms only with parent or guardian permission.

12. Security

We use industry-standard security measures, including:

  • Encrypted HTTPS connections
  • Secure password hashing
  • Limited administrative access
  • Secure hosting and monitored logs

While no system is entirely free from risk, UUCF is committed to protecting your information.

13. Updates to These Terms

We may update these Terms occasionally to reflect changes in features, policies, or legal requirements. When updates are significant, we will notify members via email or through a Portal notice.
